Engaging and Empowering Employees in a 5S Journey

The Calgary Board of Education started its 5S journey in July 2017. Setting its foot on employee engagement, employees are always closely engaged to design and implement the 5S system. In addition, through iterative and incremental continuous improvement in 5S, the system is adjusted and customized to address the real needs. Common understandings among employees are shaped by utilizing other Lean theories and tools, e.g. Gemba walk, root cause analysis, in conjunction with empowerment of employees to be able to make decisions on how to improve their work. Following Lean execution strategy “Education, Doing, Showing Commitment and Celebration” combined with agile project execution, the 5S journey has always seen positive advancement along the way. 5S was also used in team building opportunities to build team capacity. Future leaders of the organization were also nurtured through providing them with opportunities to lead 5S activities. In two years 5S journey, employees felt more comfortable about using 5S theory in their work. In turn, 5S has also helped to make a more organized and standardized operational environment. 5S standardization grew from one stream to multiple streams in facilities management. Waste was reduced and savings were observed after the implementation of 5S. Employee engagement satisfaction was also boosted along with an engaging 5S journey. Now the organizational 5S journey is self propelled and led by front line employees.
